AI Transparency

At Tip Top Systemen B.V. (trading as SIGNAGESHOPP), we believe in transparency about the use of artificial intelligence (AI) on our website. In accordance with the European AI Regulation (EU AI Act, Regulation (EU) 2024/1689), we hereby inform you about the AI systems we use, their purposes, and your rights.

1. The EU AI Regulation

The European AI Regulation (EU AI Act) entered into force on August 1, 2024, and is being applied in phases. From August 2, 2025, the transparency obligations of Article 50 apply to AI systems that directly interact with individuals. We proactively comply with these obligations.

The regulation classifies AI systems into risk categories. The AI systems we use fall under the "minimal risk" or "limited risk" category, for which mainly transparency obligations apply.

2. AI systems on our website

2.1 AI chatbot (customer service assistant)

Our website features an AI-powered chatbot that can help you with frequently asked questions about products, orders, shipping, and returns.

2.2 Product recommendations

Our website may show recommendations based on your browsing behavior and previously viewed products. These recommendations are generated by algorithms that analyze patterns in product data. No automated decisions are made that have legal consequences for you.

3. Transparency obligations (Article 50)

In accordance with Article 50 of the EU AI Regulation, we inform you as follows:

  • Interaction with AI: When you communicate with our chatbot, you are communicating with an AI system and not a human. This is clearly indicated in the chat interface.
  • No automated decision-making: Our AI systems do not make decisions with legal or significant consequences for you. All orders, returns, and complaints are reviewed by human staff.
  • No unmarked AI-generated content: If content on our website is wholly or partially generated by AI, this is clearly indicated.
  • No emotion recognition or biometric categorization: We do not use AI systems for emotion recognition, biometric categorization, or social scoring.

4. Your rights regarding AI

You have the following rights in relation to our AI systems:

  • Right to human contact: You can request to communicate with a human employee instead of the AI chatbot at any time. Contact us at [email protected] or call +31 636 009 252.
  • Right to explanation: You can request an explanation of how our AI systems arrive at certain results or recommendations.
  • Right to refuse AI: You are not required to use the AI chatbot. All services and information are also available through traditional channels (email, phone, contact form).
  • File a complaint: If you believe our use of AI does not comply with regulations, you can file a complaint with the national supervisory authority (Dutch Data Protection Authority / AI supervisory authority).

5. Data processing by AI systems

The processing of personal data by our AI systems falls under our Privacy Policy. Specifically for our AI systems:

  • Chat conversations are processed based on your consent (you initiate the conversation yourself)
  • Data is processed within the EEA or in countries with an adequacy decision
  • No sensitive personal data (special categories) is processed by the AI systems
  • You can request deletion of your chat history under the GDPR

6. Human oversight and accountability

Tip Top Systemen B.V. remains responsible at all times for the deployment of AI systems on our website. We ensure:

  • Regular monitoring of the quality and accuracy of AI responses
  • Training and awareness of employees about AI use
  • An escalation procedure when the AI chatbot cannot adequately answer a question
  • Periodic evaluation of the impact of AI on customers and employees
  • Documentation and logging in accordance with the requirements of the AI Regulation

7. Changes and updates

This transparency document is updated when we deploy new AI systems or modify existing systems. The date of the last update is listed at the top of this document.
